Files saved to your personal OneDrive, SharePoint, and Teams can be shared. Depending upon settings, and site permissions,  internal WPI account holders and external non-WPI users can receive links to view and/or edit files.

External Sharing Note:
SharePoint and Teams site permissions and WPI sensitive data policies may limit external sharing. Please refer to WPI Sensitive Data Labeling Plan (Related Articles) for specifics on sharing externally if a file is labelled.

Share Files Internally

  1. In OneDrive or SharePoint Online, check the dot next to file you want to share. Optionally, in File Explorer right-click the file.
  2. Click on the Share option in the menu bar above the documents list or to the right of the file.
  3. Validate that People in Worcester Polytechnic Institute (wpi.edu) with the link can edit is the current sharing option
  4. Share by:
    • Email from the pop-up:
      • Enter each WPI email address you'd like to share with
      • Add a message for context
      • Click Send
    • Copy Link: Saves the link to your clipboard enabling you to send via a Teams message or other communication method
    • Outlook: Opens Outlook Web App with the link already in new message, ready for you to add recipients and additional context

NOTE: The external recipient may need to check junk/spam email folders for the message containing the shared link.

Share Files with External Users

  1. In OneDrive or SharePoint Online, check the dot next to the file you want to share. For Teams, first click More Options (...) then choose Open In SharePoint and check the dot next to the file to share.
  2. Click on the sharing preferences (suitcase icon), which defaults to People in Worcester Polytechnic Institute (wpi.edu) with the link can edit
  3. Choose the Specific People option
  4. Enable or disable the Allow editing setting
  5. Select Apply
  6. Share by emailing through the pop-up:
    • Enter each email address you'd like to share with
    • Add a message for context
    • Click Send
Synchronous Editing
Multiple people can view Microsoft (Office) 365 files simultaneously. When people are using various clients and apps, there may be a lag. In this case, it may be better for an individual to edit and screenshare with collaborators.
