Students should enter emergency contacts, individuals WPI would contact in case you ever experience a personal emergency. ​

Students can also designate third-party proxy users, individuals who can access specified academic and financial tasks. Examples include:

  • make a payment
  • view account activity
  • view student statement
  • view current classes
  • view student grades
Nelnet Authorization 
Students will need to authorize a third party separately within the Nelnet platform to make credit card payments or enroll in the payment plan on their behalf. 
  • Student: Add Friends and Family

    Don't miss these steps!
    - Use Proxy for Relationship Type
    - Check the Is Third Party checkbox
    - Actions > Manage Permissions to grant access

    Before you begin: Please log into Workday on a desktop or laptop computer. The Workday mobile app is not recommended for this process.

    Student profile > Contact > Friends and Family.

    Do not delete and add again; instead, scroll right to Actions to edit or grant access permissions.

    Use Actions to edit or manage access.

    Add My Friends and Family

    1. Start on the Workday homepage and click the profile icon in the upper right corner. Then click View Profile.
      • The default profile icon is a white cloud on a blue background. Otherwise it will be an uploaded picture.  
    2. Click Contact in the menu on the left, then click Friends and Family. (Profile instructions in the Related Items menu on this page.)
    3. Click Add.
    4. Fill out the form, noting required (*) fields. 
    5. IMPORTANT: For third-party access, Relationship Types should be Proxy (NOT Parent). Also check Is Third-Party.
    6. Click Contact Information to provide Email.  Note: Email is required for third-party notifications.
    7. Click OK, then Done.
    8. IMPORTANT: Continue to Manage Permissions -- third parties cannot sign into Workday until you assign permissions.

    Third parties CANNOT sign into Workday until you assign access permissions.

    1. For each person, click Actions and choose Manage Permissions for My Third Party.
    2. On the next screen, click OK.
    3. Check Allowed for tasks you would like the person to access, then click OK.
      - Make a Payment (ACH)
      - View Account Activity
      - View Student Statement
      - View Current Classes
      - View Student Grades
    4. Fill in Purpose of Waiver with a short reason, then check Confirm.
    5. Click Submit. 

    Under Actions, you can also edit or remove people from your Friends and Family list. 

    Removing Third Parties
    If you remove a third party, you cannot add that person again with the same email address -- the person will not be able to sign into Workday.  You can add someone with the same first name/last name and other information, but you have to add a new/different email address 
  • Third Party: Accessing Workday

    After a student adds your name to Friends and Family in Workday and grants permissions, you will receive two emails from Worcester Polytechnic Institute <wpi@myworkday.com> at the address the student enters for you.

    The first email's subject is Third Party Access to Workday at WPI and will contain a link to Workday and a temporary password. The second email's subject is Welcome to Workday at WPI and will contain a link to Workday and your username.

    Third Party Username & Password
    Please make a note of the Workday link and your Workday username. If you forget your password, when you use the link for Workday, you can click the Forget Password? option to reset your password using the email associated with your Workday account.

    When you log into Workday for the first time, you will be prompted to enter your Old Password (temporary password) and create/verify a New Password. Passwords need to be a minimum of 8 upper and lower-case characters and include numbers and special characters.

    Enter temporary password, then create a new password.

    You will be prompted to set up email authentication using the email address associated with your Workday account. A verification code will be emailed to you after you click Send to Email. You will need to enter within 3 minutes.

    Multiple Student Accounts
    If a second student at WPI sets up third party access for you, you will not receive additional emails -- instead, using your existing account, you will have a task to authorize the setup in your Workday Inbox.

    To log out of Workday, click the profile/cloud icon in the upper right and click the Sign Out button.

    When finished, Sign Out of Workday.

    Subsequent logins will use the same link received in initial access email via any browser. (The Workday app is not available for third party users.)

  • Third Party: Using Workday

    The Workday home page contains the Workday Inbox -- tasks that require your attention. If authorized, it may contain Academics for Third Party and Finances for Third Party worklets.

    Click the WPI logo to return to the Workday home page.

    When you're finished, click the profile/cloud icon in the upper right then click the Sign Out button.

  • Third Party: Academics

    Open the Academics for Third Party worklet to view and open the items you student permission to access. You may see Current Classes and/or Student Grades.

    Click open an item and follow the prompts to view details. You can use your browser's back button, or click the WPI logo to return to the Workday home page.

    When you're finished, click the profile/cloud icon in the upper right then click the Sign Out button.

  • Third Party: Finances

    Open the Finances for Third Party worklet to view and open the items you student permission to access. You may see:

    • View Account Activity
    • Current Payment Elections
    • Make a Payment
    • View Student Statement

    You will also see announcements at the top of the worklet with additional useful information.

    Click open an item and follow the prompts to view details. You can use your browser's back button, or click the WPI logo to return to the Workday home page.

    When you're finished, click the profile/cloud icon in the upper right then click the Sign Out button.

    Academic Terms in Workday
    ACH payments use the current term in Workday, but payments will apply to the correct, upcoming term (e.g., during the summer, the Summer term is selected in Workday, but payments will be correctly posted to the Fall semester).

    Requirements

    Contact Info: These three items must be completed by student for third party to receive access.

    Email: NEVER delete email and re-add, or delete contact and re-add using previous email. (If this has been done the only solution is to create a new contact with a different email.)
