Students will need to create a proxy account for third parties by adding a contact to Friends and Family in Workday, then managing permissions to grants access to tasks. See the relevant articles under Related Items for more information and instructions for students.       

Students provide third-party proxy users access to:

  • make a payment
  • view account activity
  • view student statement
  • view current classes
  • view student grades
  • allow proactive notifications
  • Accessing Workday

    After a student adds your name to Friends and Family in Workday and grants permissions, you will receive two emails from Worcester Polytechnic Institute <wpi@myworkday.com> at the address the student enters for you.

    The first email's subject is Third Party Access to Workday at WPI and will contain a link to Workday and a temporary password. The second email's subject is Welcome to Workday at WPI and will contain a link to Workday and your username.

    The login link  (3rd Party Login to Workday) is in the Actions section of this article. Note: This is a different URL than one students use to log into Workday.

    Passwords

    When you log into Workday for the first time, you will be prompted to enter your Old Password (temporary password) and create/verify a New Password.

    Password requirements: A minimum of 8 upper and lower-case characters and include numbers and special characters. Cannot include 4 previous passwords, cannot be your name or username.

    Multiple unsuccessful login attempts will result in a 30 minute lockout.

    If you forget your password, use the Forgot Password link on the login screen, enter your username and the email used with your account, and you will receive an email with instructions at that address. If you do not remember your username or to verify the email used with the account, contact workday@wpi.edu

    Authentication

    You will be prompted to set up email authentication using the email address associated with your Workday account. A verification code will be emailed to you after you click Send to Email. You will need to enter it within 3 minutes.

    Multiple Student Accounts

    If a second student at WPI sets up third party access for you, you will not receive additional emails -- instead, use your existing account to open your Workday inbox to authorize setting up a second student account.

    Sign Out

    To log out of Workday, click the profile/cloud icon in the upper right and click the Sign Out button.

  • Navigating Workday

    The Workday home page contains the Workday Inbox -- tasks that require your attention. If authorized, it may contain Academics for Third Party and Finances for Third Party apps.

    Use your browser's back button or click the WPI logo to return to the Workday home page.

    When you're finished, click the profile/cloud icon in the upper right then click the Sign Out button.

  • Academics in Workday

    Open the Academics for Third Party app to view and open the items your student gave permission to access. You may see Current Classes and/or Student Grades.

    Click open an item and follow the prompts to view details. 

  • Finances in Workday

    Open the Finances for Third Party app to view and open the items your student gave you permission to access. You may see:

    • View Account Activity
    • Current Payment Elections
    • Make a Payment
    • View Student Statement

    You will also see announcements at the top of the app with additional useful information.

    Click open an item and follow the prompts to view details. You can use your browser's back button, or click the WPI logo to return to the Workday home page.

    When you're finished, click the profile/cloud icon in the upper right then click the Sign Out button.

    Academic Terms in Workday

    ACH payments use the current term in Workday, but payments will apply to the correct, upcoming term (e.g., during the summer, the Summer term is selected in Workday, but payments will be correctly posted to the Fall semester). 

  • Troubleshooting

    Email Address: NEVER delete email and re-add, or delete contact and re-add using previous email. Email address is the unique identifier for a proxy and cannot be changed or removed/re-added. If this has been done the only solution is to create a new contact with a different email. 

    What if I have a new email address?   Your student needs to edit Friends and Family. They uncheck Is Third-Party in the current contact, then ADD A NEW CONTACT USING THE NEW EMAIL. 

    Do not Delete Email
    Once email is deleted it cannot be reused.

    Third Party Login: Third party always uses the link received in initial access email via any browser. (The Workday app is not available for third party users.)

    Parents Who Use Workday at Other Organizations: Use a private browser window so that you can log into Workday with your WPI credentials. See the link in the Actions menu for directions on how to open a private browsing window.

    If there is a delay in receiving the email Workday sends:

    • The domain to which the email is going could be a non-secure website domain. Sometimes this is a company site that may also have unique security settings.
    • The recipient may be out of network range and experiencing email delay or other connectivity issue.
    • Retrying email request in a few minutes is often successful.
